Construction project document management: contracts, addenda, acceptance records and letters on one project map
A construction project is never just one contract. Over many months it gathers addenda, acceptance records, letters from the project owner, correspondence with contractors and consultants, invoices and progress reports, and different people write each of them. This page explains how Obscura keeps those documents together per project, and how approvals, signatures and sharing with outside parties stay under control.
The document problems of project-based companies
A project's documents live in many places. The contract sits in the legal team's folder, the meeting minutes on a site manager's laptop, the owner's letters in someone's inbox and the invoices in the finance system. Before anyone can answer a simple question such as "what was last agreed about the schedule?", someone has to collect all of this and work out how it fits together.
Versions are the second problem. A contract that has been changed by several addenda makes it easy to lose track of which addendum is in force, and whether the file circulating by email is the latest one. On site, people often work from a copy downloaded weeks ago.
Letters are the third. A project produces a steady flow of incoming and outgoing letters with the owner, contractors, consultants and suppliers. Numbers typed by hand and disposition on paper sheets make it hard to say who has already acted on a given letter.
Finally, project documents have to travel to outside parties. An acceptance record needs the owner's signature, and a report has to be read by a consultant or partner who has no account in your system.
Workflows in Obscura
1. Finding every document in one project
You open a project, and Project Intelligence lays out all of its documents on one map. The project sits on the left and its documents are arranged beside it. Every line carries a label that says how two documents relate, such as Based on, Amends, Evidence for or Bills for.
The map is built from links that your own team creates. When the AI module is on, you can also pick a few example documents and select Find connections, and AI suggests related documents together with the quotes that support them. Those suggestions wait in a review queue, and nothing is linked until someone on your team accepts it. A document can also be connected to more than one project without being copied. To search inside the documents, Smart search finds them by meaning in both Indonesian and English.
2. The addendum and the version in force
When an addendum arrives, the legal or project team uploads it and connects it to the contract with the Amends label. Every upload becomes a new version, earlier versions stay available to view, and two versions can be compared before a revision is approved. In Contract Intelligence, Obscura opens a review task when a new version of an agreement becomes current, so that someone checks the terms, the parties and the obligations again. If an addendum changes a term that was already reviewed, the earlier term is shown beside its replacement and the previous period stays on record.
The guide on contract addenda covers how to draft an addendum and keep a register of the version in force.
3. Incoming and outgoing project letters
A letter from the project owner is registered as an incoming letter with an agenda number and routed to the responsible position with instructions and a deadline. Scanned letters are made searchable with OCR when they are registered. For an outgoing letter, you choose a template, write it in the editor and send it through the approval route. Obscura then issues the next number under your scheme, and an issued number cannot be changed. Incoming and outgoing letters share one register that you can search by subject, number, agenda, sender or scanned text.
The basics are in the guides on the incoming letter register and disposition sheet and on company letter numbering formats.
4. Approvals and signing with outside parties
An acceptance record or any other document that needs approval follows the route you set for each position, with deadlines, delegation and escalation. Tasks go to positions, so the work continues when people change roles in the middle of a project. With the e-sign module, someone outside your organisation, such as the owner's representative, can sign as one step in the route without creating an Obscura account. Certified signing and e-Meterai run through a connected PSrE provider. Without that provider, Obscura signs with its own internal certificate authority, which is not PSrE-certified and suits internal documents where your policy accepts it.
5. Sharing with partners through view-only links
A consultant or subcontractor often needs to read one document without receiving the original file. You create a share link with view-only access and an expiry date, and the recipient can be asked for a one-time code sent to their email. The preview page carries a visible watermark with the reader's name, email and time. You can revoke the link once the need ends. With the Watermarking module, protected downloads and shared copies also carry an invisible mark for their recipient, and compatibility is tested on your own documents.
Security and control
Each record has its own access rules, covering who can view it and who can change it. Access to a project does not open documents that are restricted, and a connection on the project map does not give anyone access to a document they could not already open. AI only uses documents that the person asking is allowed to open, and an administrator can run a local model, use an approved provider or switch AI off for the whole deployment.
The audit log records changes, decisions and activity on each document, so nobody has to gather evidence from several applications when a review comes. Retention rules and legal holds support your records policy, and the optional Secure Folder module adds encryption for the folders that hold your most sensitive documents.
Where Obscura runs
Obscura Cloud is run by Valid in Indonesia, and each organisation on it is a separate tenant. If project documents must stay in your own environment, Obscura Private and Enterprise run in your own cloud, and we recommend AWS. By special arrangement, both can also run on on-premise servers or in a closed network. The modules are the same in every edition.
Start with one project
Pick a project that is running now, and we will go through its documents with your team in Obscura using safe samples. From there we agree on what a pilot should test. You are welcome to contact us.
